# GRAVITY's Audiences: A User Group Management Guide This guide on GRAVITY's "Audiences" explains how to manage user groups to ensure the right GRAVITY content reaches the right people. It is important to note, however, that unlike the Barycenter, here we highlight the unique feature of "Automapping" (documentation: [[Audiences#Audience Automapping]]) which is exclusive to the [[Admin Site]] interface. ## Members Within the GRAVITY platform, users are defined as the individual accounts that have been accumulated over the course of its usage. These accounts represent the backbone of the user interaction and data collection within the system. Members of an Audience can consist of either direct individual users or an already organized group. To manage these members appropriately, you must first decide which category applies. Once you have made this determination, you can navigate to the "Members Tab." At the top of this tab, you will find distinct buttons corresponding to each of the two categories. Select the appropriate button that aligns with your chosen category to proceed with managing your Audience members effectively. ![[1-29-Audience-Management-add-direct-members.jpg]] ### Searching for and Adding User Accounts To add user accounts, begin by accessing the search function available within the Audience management interface. The button "Add direct member," initiate the search process for users. You can locate specific users by employing criteria such as their name, email address, or account ID (depending of your GRAVITY configuration). #### Importing Users via Excel within GRAVITY Users can be added to GRAVITY not only individually but also in bulk by importing them from an Excel file. This process allows for a seamless integration of multiple users into your Audience. Follow the steps below to perform an efficient import: 1. **Create an Audience:** Begin by establishing a new Audience to which you want to add users. Set up the necessary parameters and configurations for your Audience. 2. **Navigate to the Members Tab:** Within the Audience you’ve created, go to the "Members Tab." On the right side of the interface, locate the "Export" function. ![[1-29-Audience-Management-import-export.jpg]] 3. **Export Existing Users (Optional):** By using the Export option, you can generate an Excel file with the details of all existing users, or you might choose to start with an empty template if you are adding new users without any reference. 4. **Fill Out User Information:** Open the Excel file exported from GRAVITY and populate the predefined columns with the user information you wish to import. Ensure that all the data entered matches the format and fields expected by the platform. 5. **Import Users:** Once the Excel file is completed with the user's information, return to the "Members Tab" and click on the "Import" button. You will then choose how you wish to handle duplicates during the import process. Select **"Replace all"** if you want to override existing user information with the data from the file or choose **"Import only the missing users"** to add only those users not previously present in the Audience. #### Removing a Member from an Audience in GRAVITY To remove a member from an Audience in GRAVITY, simply navigate to the "Members Tab" within your desired Audience in [[Barycenter]]. Use the search function to locate the member based on criteria like their Name or Login. Once found, click the "Action" button next to their name and select "Remove" from the dropdown menu. Confirm your decision when prompted to effectively remove the member from the Audience. ![[1-29-Audience-Management-remove-members.jpg]] ### Including other Audiences within an Audience In GRAVITY, an Audience can be composed not only of direct individual members but can also include entire other Audiences, enriching the robustness and flexibility of audience management. This hierarchical structure allows for more dynamic grouping and streamlined communications or content delivery strategies. Follow the simple steps below to include an Audience within another Audience: ![[1-29-Audience-Management-Members-and-audiences.jpg]] 1. **Navigate to the Members Tab:** Start by accessing the "Members Tab" of the Audience you wish to augment. This tab acts as your central hub for managing the composition of your Audience. 2. **Add Another Audience:** Look for and select the option "Add another Audience." This action will prompt you to browse and select from your existing Audiences. 3. **Select Your Audience:** From the list of available Audiences, choose the one you wish to include in your currently active Audience. After making your selection, proceed to add it. 4. **View Under Direct Members:** Once the selected Audience is added, it will be listed under “Direct Members” within the "Members Tab." From here, you are not only able to view the included Audience but also drill down to explore its direct members, offering a layered insight into the constituent parts of your now expanded Audience. ## Managing Language Translations and Audience Member Movement Within an Audience, the "Configuration" tab serves a pivotal role, not only in managing the language translations of the available languages for your instance but also in defining the dynamics of how members within an audience are handled over time. This includes actions such as the automatic removal or transfer of members after they have remained in an audience for a predetermined period. Here's how you can set up these configurations: ![[1-29-Audience-Management-configuration-tab.jpg]] ### Move Users to another Audience ![[1-29-Audience-Management-configuration-removing-users.jpg]] 1. **Define Member Duration:** The first step involves specifying the duration a member can stay within a specific Audience. Navigate to the "Configuration" tab and enter the number of days a user is allowed to be part of this Audience. Once this predefined time period elapses, the system is set up to automatically initiate the removal process for these members from the Audience. 2. **Optional Audience Transfer:** For scenarios where removal is not the sole action desired, there's flexibility to instead transfer members to another Audience upon reaching the end of their stay in the current Audience. This option can be selected and configured within the same "Configuration" tab. Specify the destination Audience to which the users will be transferred automatically after their time in the initial Audience concludes. ## Audience Edit Permissions The management of edit permissions for an Audience is a crucial aspect for ensuring controlled and authorized modifications to Audience settings and membership. This process is centralized within the "Owners" tab of each Audience configuration page. Here's a step-by-step guide on how to manage and assign edit permissions for an Audience: ![[1-29-Audience-Management-owner-tab.jpg]] 1. **Access the Owners Tab:** To start, navigate to the specific Audience you wish to manage. Within the Audience's dashboard, locate and click on the "Owners" tab. 2. **Understanding Default Permissions:** It's important to note that all users possessing access rights to Barycenter can view the members and configuration details of any Audience. This default setting allows for transparency and visibility across the platform. However, viewing permissions do not equate to editing rights. 3. **Assigning Owners Rights:** For a user to be able to edit an Audience, they must be designated as a "Learning Manager" (see: [[Barycenter#Access directly]] ) and explicitly granted "Owners" rights for that specific Audience. Within the "Owner" tab, you can assign these rights to the desired Learning Manager(s) by adding their user accounts to the list of Owners.
